Overview
Huddle is operated by VTAKU LLC ("VTAKU," "we," "us," or "our"). This Privacy Policy explains how we collect, use, disclose, and protect information when you use Huddle, including organizer workspaces, invitations, public response links, scheduling polls, ranked availability, suggestions, and related services.
Information We Collect
We collect account information provided through Firebase Authentication and Google sign-in, such as your name, email address, Firebase user identifier, and profile photo URL. We also collect workspace and scheduling content that you or other users submit, including group names, event details, descriptions, time zones, round titles, proposed time slots, availability rankings, choice votes, text answers, suggestions, participant names, and participant email addresses.
For organizer invitations, we store the invited email address, role, expiration, acceptance state, and a hashed invite token. For public responses, we use a responder cookie so the same device can reopen and edit a saved response, and we store a hashed version of that responder token with the response.
We may collect technical information such as IP address, device and browser details, pages viewed, timestamps, error logs, session state, Firebase Analytics page-view events when analytics is configured, and similar information needed to operate, secure, debug, and improve the service.
Cookies and Local Storage
Huddle uses a signed session cookie to keep signed-in users authenticated for up to 30 days. Huddle also uses a responder cookie for up to one year so public responders can edit a saved response from the same device. When you request email link sign-in, Huddle temporarily stores the pending email address and return path in your browser's local storage so the sign-in flow can finish correctly. Firebase and Google may also use browser storage or cookies to provide authentication and analytics services.
How We Use Information
We use information to provide Huddle, authenticate users, create and manage groups and events, collect and display responses, maintain public participation links, prevent abuse, troubleshoot issues, analyze service performance, and communicate about service-related matters.
Sharing and Service Providers
We do not sell your personal information. We may share information with service providers that help us run Huddle, including Cloudflare Workers and D1 for hosting and database infrastructure, Firebase Authentication and Google sign-in for identity, Firebase Analytics for analytics when enabled, and related logging, security, and infrastructure providers. These providers may process information only as needed to provide their services to us.
We may also disclose information if required by law, to protect rights and safety, to investigate abuse or security issues, or as part of a merger, acquisition, financing, or sale of assets.
Public Links and Participant Data
Organizers may create public round links that allow participants to respond without creating an account while a round is open. When a round is closed or archived, anyone with the public round link may be able to view aggregate results and approved suggestions. Organizers with workspace access can view submitted text answers, suggestions, names, and email addresses. Organizer invite links may reveal the group name, invited email address, and invited role to someone with the link.
Organizers are responsible for sharing public and invitation links appropriately and for having permission to collect participant information they request through Huddle.
Retention
We keep information for as long as needed to provide the service, comply with legal obligations, resolve disputes, maintain security, and enforce our agreements. Organizers may delete or change certain workspace content through the service when those controls are available. Account records, analytics, logs, and information we need for security or legal reasons may remain after workspace content is changed or deleted.
Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. No internet service is completely secure, so we cannot guarantee absolute security.
Your Choices
You may update information through the service where controls are available. You may also contact us to request access, correction, deletion, or other handling of your personal information. We may need to verify your identity before completing a request.
Children
Huddle is not directed to children under 13, and we do not knowingly collect personal information from children under 13.
Changes
We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised effective date.
